Step 1 — Define who you actually want to meet
Everything starts with the ideal customer profile. Look at the customers you already win and deliver the most value to: which industry, which size, which area, and who makes the decision. Be specific — "Norwegian companies" is not a target audience, but "accounting firms with 10–50 employees in Viken, where the managing director decides" is.
Use NACE industry codes and company size to narrow down precisely. The tighter the profile, the more relevant everything you do afterwards becomes — and the easier it is to write an email that lands.
Step 2 — Build the list and verify the contacts
With the ICP in place, you build the list. Here Norwegian data quality is decisive: you need the right companies, the right decision-makers and verified email addresses. A list full of outdated addresses produces high bounces, which in turn destroys deliverability for the entire campaign.
This is one of the core tasks Vexter solves — building precise target audiences against over a million Norwegian companies and delivering verified contacts, so you do not have to search manually in Proff, LinkedIn and the Brønnøysund Register separately. The result is a list you can trust from the start.
Step 3 — Prioritise using signals
Not everyone on the list is equally warm. Layer buying signals on top and work the most relevant accounts first: companies that have just hired a relevant leader, are growing rapidly or have registered a change in the Brønnøysund Register. Signals give you an ordering — and a reason to reach out right now.
That does not mean the rest of the list is wasted. But by starting with the warmest prospects you get faster replies, faster meetings and faster learning about what works.
Step 4 — Run the sequence and follow up
Now you send. A sequence is a series of short, relevant emails: an initial outreach, and two to three follow-ups spread over a couple of weeks. Most replies come from the follow-ups, not the first email, so do not give up after one attempt.
Watch deliverability while you send: use inbox rotation to distribute volume, keep the tone natural in Norwegian, and make sure each conversation stays in the same inbox. Vexter handles sending, rotation and follow-up automatically — but you should review the messaging and adjust the tone before the campaign goes live.
- First touch: short, relevant, one clear call to action
- Follow-up 1 after a few days: a new angle, not just "just a reminder"
- Follow-ups 2–3: short and polite, then stop
- Keep the entire thread in the same inbox
Step 5 — Book the meeting and close the loop
When someone replies, the goal is one thing: a concrete meeting. Make it easy to say yes — suggest two specific times rather than asking them to find a slot themselves. The less friction, the more meetings actually land in the calendar.
Finally: close the loop and learn. Which segments replied best? Which signals produced the most meetings? Which opening worked? Feed the insight back into step 1, tighten the ICP, and run the next round a little sharper. A playbook gets better every time you run it.
